Privacy Policy — Publishd

Cohesion Labs LLC (“we,” “our,” or “us”) operates Publishd, an AI-assisted manuscript preparation tool built for orthopaedic surgeons and researchers, in partnership with The Ortho Minute LLC. This Privacy Policy explains what information we collect when you use Publishd, how we use it, and your rights regarding your data.

Information We Collect

We collect information you provide directly when you create an account or use the platform:

Account information: name, email address, institution, specialty, and professional credentials.
Manuscript content: titles, abstracts, body text, figures, references, and related materials you upload or draft within the platform.
Co-author information: names, email addresses, institutional affiliations, ORCID identifiers, and conflict-of-interest statements for individuals you identify as co-authors.
Usage data: features accessed, journals queried, and session activity, collected to improve the product.
Device and log data: IP address, browser type, and operating system, collected automatically.

How We Use Your Information

To provide manuscript review, validation, and formatting assistance.
To match your submission against target journal requirements.
To process your manuscript and chat interactions through our AI provider (Anthropic). Anthropic’s API does not retain your data or use it for model training. See Anthropic’s privacy policy at anthropic.com/privacy.
To send product updates, account notices, and support communications.
To improve Publishd’s features using de-identified, aggregated data only, unless you explicitly opt in to broader use.
To comply with legal obligations.

Manuscript Confidentiality

We treat your manuscript content as confidential. We do not share, sell, or disclose your unpublished work to third parties. Manuscript data is used solely to provide the service to you and is not used to train AI models without your explicit consent.

Data Sharing

We do not sell your personal information. We may share data with:

AI processing providers (Anthropic) who process manuscript content and chat messages to deliver the service, under terms that prohibit data retention and model training on user content.
Service providers who help operate the platform (e.g., cloud hosting, authentication, payment processing), under confidentiality agreements.
Legal authorities when required by law or to protect the rights and safety of users.
Successors in the event of a merger, acquisition, or sale of assets, with prior notice to users.

Data Retention

We retain your account information for as long as your account is active. Manuscript content is retained for the duration of your subscription and deleted within 90 days of account closure, unless you request earlier deletion. Co-author information entered by you is retained for the duration of your account and deleted alongside your account data.

Security

We use industry-standard encryption (TLS in transit, AES-256 at rest) and access controls to protect your data. Data is stored on Supabase-hosted infrastructure within the United States. No method of transmission over the internet is completely secure; we encourage you to use a strong, unique password for your account.

Health Information

Publishd is not a covered entity under HIPAA and is not designed to store or process protected health information (PHI). You are responsible for ensuring that any manuscript content you upload complies with applicable de-identification requirements and does not contain identifiable patient information.

Your Rights

Depending on your location, you may have the right to:

Access, correct, or delete your personal data.
Export your data in a portable format.
Withdraw consent for optional data uses at any time.
Lodge a complaint with a data protection authority.

International Users

If you are located in the European Economic Area, United Kingdom, or other jurisdiction with data protection laws, your data is processed and stored in the United States. By using Publishd, you consent to this transfer. We process your data on the legal basis of contractual necessity (to provide the service) and legitimate interest (to improve the platform).

Cookies

We use cookies and similar technologies to maintain sessions and understand how users interact with the platform. You can control cookie preferences through your browser settings; disabling cookies may limit certain functionality.

Children’s Privacy

Publishd is intended for adult healthcare professionals and researchers. We do not knowingly collect information from individuals under 18. If you believe we have inadvertently done so, contact us and we will delete it promptly.

Changes to This Policy

We may update this policy from time to time. We will notify you of material changes by email or by a notice on the sign-in page at least 14 days before they take effect. Continued use of Publishd after that date constitutes acceptance of the updated policy.
